As we continue to grow, we are now looking for a Facilities Coordinator to join our Operations team.
As a Facilities Coordinator you will be responsible for ensuring the smooth and efficient operation of all facility-related services at Kwalee. You will work closely with vendors, service providers, and internal teams to maintain a safe, clean, and productive workplace that supports our employee's needs.
This is a permanent role based in our Bangalore studio, where our daily in-office collaboration fuels creativity and innovation.
Responsibilities
- Workstation Setup: Configure equipment and workstations for new employees to ensure a seamless onboarding experience.
- Point of Contact: Serve as a primary liaison for the Admin team, handling interactions with Kwalee employees, external vendors, and partners, including reception and telephone duties.
- Mail and Parcel Management: Order, receive, and distribute parcels and mail efficiently.
- Equipment Management: Arrange repairs or recycling of faulty equipment, collect and reassign equipment from departing employees, conduct internal audits of office equipment, and procure new items as needed.
- Vendor Coordination: Source and onboard new vendors to meet various business requirements, ensuring cost-effectiveness and reliability.
- Meeting Room Setup: Prepare meeting rooms for external guests, interviews, and internal meetings, ensuring a professional environment.
- Event and Travel Coordination: Organize internal team events, travel arrangements, and related activities to foster team engagement.
- Food and Beverage Management: Handle food orders for office meetings and events; monitor tuckshop and food vendors to ensure quality and quantity standards are met.
- Office Pantry and Supplies: Maintain a clean and well-stocked office pantry, track consumption of stationery and housekeeping supplies, and forecast monthly requirements to maintain adequate stock levels.
- Safety Checks: Conduct monthly inspections of first aid equipment to ensure compliance with safety standards.
- Reporting: Communicate key office and administrative findings to the Facility Manager, Senior Facilities Administrator, and other team members as required.

Requirements
- At least 2 to 3 years of experience in facilities management within MNCs or the hospitality sector.
- Strong organisational skills with the ability to multitask in a dynamic environment.
- Excellent communication and collaboration skills.
- Proficiency in Excel, Google Sheets, and other relevant tools/software.
- Experience in vendor management and soft services, with exposure to technical aspects of facilities.
- Strong attention to detail and a proactive approach to problem-solving.
- Based in our Bangalore office with 5 days per week on-site.
